Terms of Service

These Terms of Service (“Terms”) govern your use of the Doctilio application (“App”) provided by Doctilio (“we,” “our,” or “us”). By accessing or using the App, you agree to be bound by these Terms. If you do not agree, do not use the App.
1. Overview
Doctilio is a medical dictation application that enables healthcare professionals to record voice dictations, transcribe them into text using on-device speech recognition, manage medical reports, and optionally enhance text using AI-powered improvement tools.
2. Eligibility
You must be at least 18 years of age and a licensed or practicing healthcare professional (or authorized support staff) to use this App. By using the App, you represent and warrant that you meet these requirements.
3. Account Registration
- You must sign in using a valid Google or Apple account. Doctilio does not issue or store a separate password.
- You are responsible for safeguarding the Google or Apple account you use to sign in and for all activity under your Doctilio account.
- You agree to provide accurate and complete information during onboarding, and to keep any details you add in the App (such as a phone number) accurate.
- You must notify us immediately if you suspect unauthorized access to your account.
4. Permitted Use
You may use the App solely for lawful medical dictation and report management purposes. You agree not to:
- Use the App for any unlawful, fraudulent, or harmful purpose.
- Reverse engineer, decompile, or disassemble the App or its underlying technology.
- Attempt to gain unauthorized access to our servers, systems, or other users’ accounts.
- Interfere with or disrupt the integrity or performance of the App.
- Reproduce, distribute, or create derivative works from the App without our prior written consent.
- Use the App to transmit malware, viruses, or any harmful code.
5. Medical Disclaimer
- Doctilio is a dictation and transcription tool only. It does not provide medical advice, diagnosis, or treatment recommendations.
- The AI text formatting feature is designed to assist with grammar, formatting, and medical terminology. It does not validate medical accuracy. You are solely responsible for reviewing and verifying all transcribed and AI-formatted text before use in any clinical or medical context.
- Doctilio is designed to minimise patient-identifying data, and your custom vocabulary stays on your device. However, the report text you save is uploaded and processed as described in our Privacy Policy. You must not submit directly identifying patient data without an appropriate legal basis, and you remain responsible for your use of the App under applicable health-data laws.
6. Subscription and Payments
- New users receive a one-time 7-day free trial on account creation. The trial is limited to one per person; we retain identity markers (your email and your Google or Apple identifier) to enforce this, and deleting and re-creating an account does not grant a new trial.
- Certain features of the App require an active subscription or trial. Subscription plans, pricing, and features are described within the App and may change at our discretion.
- Payments are processed exclusively through the Apple App Store and Google Play in-app purchase systems. Billing, price, currency, and renewal are handled by Apple or Google under your store account; we never receive or store your payment-card details.
- Subscriptions renew automatically unless you cancel auto-renewal before the renewal date in your Apple App Store or Google Play settings. Access continues until the end of the paid period.
- Refunds are handled by Apple or Google in accordance with the applicable store’s policies; Doctilio does not directly issue refunds.
- Deleting your Doctilio account does not cancel an active store subscription; you must cancel it separately with Apple or Google.
7. Intellectual Property
- The App, including its design, source code, speech recognition models, AI services, trademarks, and all related content, is the exclusive property of Doctilio and is protected by applicable intellectual property laws.
- Your transcriptions and dictation content remain your property. By using the App, you grant us a non-exclusive license to process, store, and retain that text to deliver and operate the service (including transcription sync and AI text correction and formatting), to review quality, and to improve and train our correction models, including by sharing report text with our third-party AI provider as described in our Privacy Policy.
- When you delete your content or your account, we stop using it to provide the service to you; however, as described in our Privacy Policy, some de-identified text and records may be retained.
8. Privacy
Your use of the App is also governed by our Privacy Policy, which describes how we collect, use, and protect your information. By using the App, you consent to the practices described in the Privacy Policy.
9. Service Availability
- We strive to keep the App available at all times but do not guarantee uninterrupted or error-free operation.
- We may modify, suspend, or discontinue any part of the App at any time, with or without notice.
- On-device transcription works offline; however, features such as report syncing, AI text formatting, and account management require an active internet connection.
10. Limitation of Liability
To the maximum extent permitted by applicable law:
- The App is provided “AS IS” and “AS AVAILABLE” without warranties of any kind, whether express, implied, or statutory, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement.
- We do not warrant the accuracy, completeness, or reliability of any transcription or AI-formatted text generated by the App.
- In no event shall Doctilio, its officers, directors, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, revenue, profits, or business opportunities, arising from your use of the App.
- Our total liability for any claims arising from your use of the App shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.
11. Indemnification
You agree to indemnify, defend, and hold harmless Doctilio and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to:
- Your use or misuse of the App.
- Your violation of these Terms.
- Your violation of any applicable law or regulation.
- Any content you submit through the App.
12. Termination
- You may stop using the App and request account deletion at any time by contacting us at support@doctilio.com.
- We may suspend or terminate your access to the App at any time, with or without cause or notice, if we believe you have violated these Terms.
- Upon termination, your right to use the App ceases immediately. We may delete your account data in accordance with our data retention practices.
13. Modifications to These Terms
We reserve the right to update or modify these Terms at any time. We will notify you of material changes by updating the “Effective Date” at the top of this page. Your continued use of the App after such changes constitutes your acceptance of the revised Terms. If you do not agree to the updated Terms, you must stop using the App.
14. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or relating to these Terms or the App shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be subject to the exclusive jurisdiction of the courts in India.
15. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
16. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Doctilio regarding your use of the App and supersede all prior agreements and understandings.
